Job Description

Front Desk Management

  • Greet and direct all visitors, ensuring a professional and positive first impression.
  • Manage visitor sign-in procedures, badges, and notifications to employees.
  • Answer, screen, and route incoming calls promptly and courteously.
  • Maintain a clean, organized, and presentable reception and lobby area.

Administrative and Office Support

  • Sort, distribute, and prepare incoming and outgoing mail and packages.
  • Maintain inventory of office supplies and replenish items as needed.
  • Ensure conference rooms, kitchen areas, and shared spaces remain clean, organized, and properly stocked.
  • Assist with document scanning, copying, filing, and uploading into systems such as Square 9.
  • Provide general administrative assistance to leadership and employees as assigned.

Meeting and Visitor Coordination

  • Reserve conference rooms and ensure they are prepared for meetings.
  • Assist with meeting logistics, materials, and basic technology needs.
  • Provide support for visitors, including Wi-Fi access and directional assistance.

Event and Employee Support

  • Assist with internal office events such as birthdays, celebrations, and team gatherings.
  • Support HR or leadership with administrative tasks related to office activities or communications.
